HOW TO: Update 6-in-1 Server Edition for FileMaker 19 on Windows Server

Step-by-step instructions to update 6-in-1 Server Edition running on FileMaker 19 for Windows Server.


Every year we release updates to 6-in-1 to support the latest tax forms, changes in tax law, and to enhance the product.  This article includes step-by-step instructions to install these updates for Server Edition users running the FileMaker 19 version of our product on Windows Server 2016, 2019, or 2022.  Screen shots for these instructions are based on Windows Server 2019, but can easily be adapted for users running Server 2016 or 2022.


NOTES & WARNINGS: 

  • This is for Multi-user / Server installations only.  Standalone edition instructions are available here.
  • You will need local Administrative privileges in order to complete this process.
  • You should close all programs and save your work prior to proceeding.  
  • All 6-in-1 users must be logged out of the system.
  • In some cases, especially with older machines and operating systems, you may be forced to restart your computer without warning.

1) Overview

Every year we release updates to 6-in-1 to support the latest tax forms, changes in tax law, and to enhance the product.  This article includes step-by-step instructions to install these updates for Server Edition users running the FileMaker 19 version of our product on Windows Server 2016, 2019, or 2022.  Screen shots for these instructions are based on Windows Server 2019, but can easily be adapted for users running Server 2016 or 2022.

6-in-1 Server Edition is comprised to 4 primary components:  

  1. FileMaker Server 19 (FMS):  This is the ‘engine’ that hosts the 6-in-1 data files for access over the local area network.  Updating this component is touched on in Step 3.
  2. 6-in-1 Database Files:  These files hold your client data as well as all of    6-in-1’s various screens and functionality.  Updating these files is the primary focus of this guide.
  3. FileMaker Pro 19 for 6-in-1 (FMP):  This is the ‘client’ that talks to FMS.  It is installed on any user’s workstation that needs access to 6-in-1, and includes some plug-ins and other support files that we add to help 6-in-1 run.  This guide touches on this optional update in Step 4.
  4. FileMaker Pro 19 for 6-in-1 Admin (FMP):  This is virtually identical to the 3rd component above, but is installed on the server for purposes of administration.  We will use it to perform part of the update operation in this guide.  This guide covers updating this component if required.
     

This document assumes that you have already installed 6-in-1 on FileMaker 19 in your environment, and are simply looking to update.  In our step-by-step example, we’ll be updating from 6-in-1 v2022-280 (October 7, 2022) running on FileMaker 19.4.2 to 6-in-1 v2023-024 (January 24, 2023) running on FileMaker 19.6.1 (FMP) / 19.6.2 (FMS), although you might be updating from an even earlier version, and will be relevant for updates after v2023-024.  

Please note that the version numbers between FMS and FMP do not always align.  At the time of this writing, FileMaker Pro 19 is at version 19.6.1, whereas FileMaker Sever 19 is on version 19.6.2.

 

2) System Requirements

If you have successfully installed FileMaker 19 Server on this machine, then you should not have any issues installing the update. If you need more information about the technical specifications, please refer to Claris’ documentation:

3) PREP:  Update FileMaker Server (Optional)

As mentioned in the overview above, if you are running an older version of FileMaker Server 19 (FMS), we recommend updating it to the latest, as there are performance enhancements that make it worthwhile.  It is, however, optional.   The following guide outlines the process:

There are 2 ways to quickly determine the version of FMS you are running.  The first is illustrated below, and uses the FMS Admin Console.  The second is demonstrated in Step 4 below, which also displays the Local FMP version. 
 

  1. Log into the admin console by opening your browser and navigating to http://localhost:16001. The default credentials (see screenshot below) are unchanged from the original installation unless they were changed by you or one of your associates.



     
  2. Upon login, you will be presented with the dashboard.  Note the FMS version at the bottom left.




     

4) PREP:  Update FileMaker Pro for 6-in-1 on all client workstations (Optional)

As mentioned in the overview above, this guide only focuses on updating the components on your SERVER.  While is absolutely recommended to keep the client-side installations in step with the whole system, it is optional.   The following guide outlines the process to run on each of the client workstations:

You can determine what version FMP is running on a local desktop by launching 6-in-1 and Ctrl-Clicking on the version text in the opening screen.  See screen shot:



Note that you can also determine the FMS version from that same dialog.

 

5) PREP:  Download the latest installation package

You’re ready to begin updating the server components.  Before you start, let’s make sure you’re working with the latest version available on our downloads page:

Note the version and date on the website.

 

6) PREP:  Make note of your Customer ID

NOTE:  If you have not updated 6-in-1 recently, you may need to re-enter your customer ID at the end of this process.  Your Customer ID is a 7 digit code (4 alpha followed by 3 numeric characters), and is available on your invoice, or right in 6-in-1.

Inside 6-in-1, you can capture your Customer ID from the opening License screen, or on the bottom-right corner of the Hub & Spokes menu.

 

7) Run the installer as administrator

NOTE:  Please close 6-in-1 and FileMaker Pro before proceeding.

  1. Locate the downloaded installer.
     
  2. Right-Click on the installer and select Run as Administrator.



     
  3. If prompted by UAC (User account control), please choose Yes to allow changes on your device.



     
  4. When the installer loads the welcome screen, click Next.



     
  5. You will next be prompted for a password.  Please enter the password, showtime, and then press Next.



     
  6. Next, since you are updating your existing 6-in-1 database, choose Update EXISTING, and then press Next.



     
  7. You will then be asked if you would like to customize this installation.  Most users do not need to, so simply choose No, and then press Next.  



    NOTE:  The ‘Standard’ option updates your 6-in-1 files as well as your local FileMaker 19 software components as well as the database components.  Users who choose to customize will be prompted to confirm the location of the Estate19 folder and will be asked to confirm additional settings and actions.  This option is generally only used when problems require overriding standard settings.  

     
  8. If your installation of FileMaker Server (FMS) is up to date, you will not see the following prompt.  ‘No’ is the default option.  If you specify ‘Yes’, the installer will open a browser to the support article with step-by-step directions to update FMS.  It will also initiate a download of the FMS update installer.





     
  9. If your local version of FileMaker Pro 19 for 6-in-1 Admin (FMP) is up to date, you will not see the following prompts, and can skip to Step 8.0 now to continue following this guide. However, if you are running an older version of FMP, the installer will now attempt to run a patch updater.  Press Next to continue.



     
  10. Since your FileMaker 19 Service is likely running, you will now be prompted to allow the installer to stop the service.  Press Yes, or go shut it down manually.



     
  11. That process can take up to a minute or two.



     
  12. When the FileMaker updater launches, you may be presented with the following wizard to update some prerequisite runtime libraries.  If so, press Next to continue.  Otherwise, skip to Step 7.13.





     
  13. If the prerequisite runtime libraries are up to date, you’ll next be presented with the following wizard step.  Press Update to continue.



     
  14. The update process will take a minute or two.



     
  15. When the update completes, press Finish.



     
  16. Then, you’ll be brought back to the 6-in-1 update wizard.  Because FMP required updating, this installer will have to restart now.  Press Next to restart the installer, and then go back to Step 7.4 earlier in this guide.  If, for any reason, the installer doesn’t restart, go back to Step 7.1.



     

8) Ready to Install

This step begins at the end of the installation wizard, on the summary screen, “Ready to Install!”.

  1. Press Next to begin extraction.



     
  2. Extraction will take a minute or so.



     
  3. When extraction is complete, press Close to launch FileMaker and initiate the update sequence in 6-in-1.  



    NOTE:  When the option, “Launch 6-in-1 in Admin mode to initialize final step?” is checked (as is default), 6-in-1 will be launched immediately upon closing the installer.  If you wish to initiate that process later, you can un-check the option and press close.  6-in-1 will automatically initiate the final sequence the next time it is launched as described in Step 9.0 below.

 

9) Launch 6-in-1 to initialize the update sequence

As discussed, the final process of updating involves launching 6-in-1 to initialize the update sequence.  During this process, your data is backed up, and installation of the new files is finalized.  Depending on the size of your databases, this process can take from a 3 to 35 minutes or more.

  1. If the installation wizard didn’t do it for you automatically, you WILL NOT BE ABLE TO START 6-in-1 THE USUAL WAY.  Instead, you will need to Launch 6-in-1 manually by opening FileMaker Pro and navigating to the ‘Opener.fmp12’ file in Estate19 folder.  The default location for this file is:

    C:\Program Files\FileMaker\FileMaker Server\Data\Databases\Estate19

     

  2. You’ll see our progress bar (unless you had to launch 6-in-1 manually as described immediately above).



     
  3. Next, you’ll a screen that looks like the following.  This process can take several minutes, so please do not touch your keyboard and just let it run.  If the screen freezes and you do not see changes, just leave it be – it will complete in as little as 3 minutes… or more than 30-35, depending on the size of your databases.



     
  4. When the process completes, you’ll see a screen that looks like the following.  Make sure that your Customer ID is populated in the space provided.



     

10) Restart the service

Once 6-in-1 is closed, you can turn the FileMaker Server service back on.

  1. Open Services Panel:  You can quickly open the services panel by searching for services in the start menu:



     
  2. Verify automatic startup type:  With the services panel open, double-click on FileMaker Server and verify that the Startup Type is set to Automatic.  



     
  3. Start the service:  Start the service, then close the services dialogs.

     

11) Open the Admin Console and verify operation

  1. Log into the admin console by opening your browser and navigating to http://localhost:16001. The default credentials (see screenshot below) are unchanged from the original installation unless they were changed by you or one of your associates.



     
  2. Once logged in, you should notice that your 6-in-1 data files are loading (this can take several minutes), and your server version number reflects the upgrade.



     

12) Notify 6-in-1 Users

Finally, once all databases are loaded, you’re done!  Please notify your 6-in-1 users that they are invited to log back into the system at their convenience.
 

Congratulations… You’re DONE!
